What is ‘Life Admin’?According to Urban Dictionary, the term Life Admin describes those day-to-day chores on your to-do list with an administrative vibe – think banking, bill paying, deciding what to buy ahead of your grocery shopping trip, form filling, or holiday and event planning! Though honestly when you really think about it there are absolutely loads of admin things that need to happen to keep you and your families' lives running smoothly. What isn’t ‘Life Admin’?Life Admin isn’t the nitty gritty of house cleaning and it’s not about doing laundry or tidying up either; it’s all the behind-the-scenes planning that needs to happen before you even begin the task. It’s about making the appointments and gathering the info you will need to make the most of being at the appointment, it’s about remembering that the appointment is even happening! The struggle is real!Some people are natural experts at this essential life skill, and others find it more difficult. That delicate equilibrium between work, family, friendships, and self-care can feel unachievable when you are looking at what feels like an endless list of tasks to tackle, and time that seems to slip away unseen as we juggle these responsibilities in a world that expects effortless execution. Fed up with that oh so familiar cycle?Falling behind on life admin is so easy, all it takes is a few postponed tasks here and there. But gradually, those undone tasks begin to accumulate. Each missed bill payment, unopened email, or neglected appointment becomes a weight on your shoulders, which makes you feel even less able to deal with it. The truth is before I had kids, I could barely keep track of my own life admin! Having my eldest in 2010 forced me to look at why I found it so difficult, and I realised I needed to find workarounds because I refused to fail her like I felt I failed myself. Change was slow and if I’m being honest it took until 2015 to start to see a big difference in my day-to-day life (that learning curve was tight!).

RED DAYS - ENGAGEMENT On red days we put the 'Social' in Social-Media! This is the time to respond to all of those comments left on previous posts, have a look at who exactly has liked your posts and take the time to go interact on their profile by leaving some love via the like or heart react buttons, or even by leaving comments on their posts.. Genuine non-salesy engagement is what the algorithm loves - so make sure to spend as much time on this as you do on planning your own posts! ORANGE DAYS - PLANNING & SCHEDULING I try to get this part done as quickly as possible as sometimes by overthinking things we can strip away the authenticity of our content. An hour and a half should be more than plenty of time to plan, create and schedule 3 posts. Especially when using this method! DARK GREY DAYS - ADVERTISE YOUR SERVICES I have a selection of advert type posts which I use to highlight my service and package options. It's fine to reuse these sporadically and sparingly. I also use this slot to draw attention to any special offers or discounts. LIGHT GREY DAYS - BEHIND THE SCENES OF WHAT YOU DO People love a sneak peek behind the scenes and almost all my clients see positive engagement on these types of posts. You could record a short video of you preparing your tools before beginning work, or a before and after image, or even a cheeky selfie! If you're really stuck you could simply ask what aspects of your business interest your subscribers and then use those suggestions for behind the scenes inspo! GREEN DAYS - ASK A QUESTION Green days are a fabulous opportunity to get to know your followers better! Asking questions frequently will help you to identify which of your followers are most engaged with your brand. You could use one of the polling options available on your favourite social media platform or you could create a graphic and receive responses in your comments. You don't even have to keep this relevant to your business, you could ask how they are keeping cool during this summers heatwaves, or who they think will win this weekends big match, or even simply M&M's or Malteasers? DARK BLUE DAYS - MISHMASH DAY Dark Blue days are a bit of a mishmash, you could use them to let your followers know about the other ways they can stay connected to your brand, or to share relevant links that your followers might find enjoyable or helpful. To keep this fresh, I do not recommend re-using each one of these more than once every 5 or 6 weeks.
LIGHT BLUE DAYS - PROVIDE AN ANSWER Give back to your clients and gain new followers by providing useful hints and tips in line with your profession. This can be little known hacks, or you could introduce them to a product you use to make your working life easier! If you run out of ideas. you can do some market research as to what your followers would like on your Green days! I first heard about Virtual Administration way back in the early 2000's when I worked as a Personal assistant in Scotland's NHS.. I loved that job and thought the only way it could be more amazing was if I could do it from home.. I was only in my early twenties at that point though, and the internet was a very different place in 2005, Twitter and Facebook were still two years from being launched! I found a surprising amount of information on Google about what a VA does but no matter how hard I searched online, I couldn't find a way into the profession that didn't involve living in a city to access high speed connections which my town didn't yet have..
Beyond a shopping trip or long weekend, I'm not really a city living kind of girl, so I decided to put the idea to the back of my mind. Instead I concentrated on building my career in the NHS, always keeping one eye on the internal vacancies advertised page for a PA position. Those are rarer than hens teeth and I loved working in the NHS so instead I focused on getting experience across my health-board. I bought a house, got married, made it a home, traveled and had our kids. I didn't realise it for another 10 years, but the seed for KTVAS was already sown. I can't remember exactly when it happened or how, but every so often I would do a little bit of admin work for friends who ran their own businesses, then I was doing it for their friends, and by 2019 I realised I now had a bit of a hobby business on my hands! I wasn't sure it was entirely viable yet, there was still the misconception that people couldn't be trusted to work from home.. Now though there was so much information online about how to become a VA, what a good business model looked like and the best part I now had high speed broadband! Gradually I started taking the soft skills I had accumulated and began formalising them.. Over the course of my second maternity leave in 2019 I looked into marketing and branding strategy's, I took courses on Social Media Management, Business Management, Microsoft Office, and more! Then in early 2020, just a few months after I had returned to work, and just as I was trying to decide if now was the time to launch a business, Covid-19 arrived on the scene. It didn't feel right to start a business at the beginning of the pandemic, it also felt a bit like jumping ship to leave when things were getting so tough. I continued on for another year building my skills and learning more of what I thought I might need to know until in the spring of 2021 for various reasons, it felt like the time had come and that there wasn't going to be a better time than now! So here I am, finally ready and hoping this hobby turned 'for real' is ready too! |
